PineTrace at Binks Forest Architectural Review Committee (ARC)

How to get an ARC approval

1. Verify that your architectural request is acceptable to the ARC Summary of procedure and design requirements for Pine Trace HOA.
2. Visit … to obtain the forms.

   1. Tips on filling out the form:
      1. Identify who is doing the work.
         1. Have them provide a copy of their license and insurance
      2. Provide a simple illustration of where the work is being done.
         1. Examples: A plot where it goes sin the yard (Screening, walkways)
      3. Provide colors
      4. Pictures are very helpful
   2. Examples of successful applications:

4. Email application to …
   1. If email is not available, the application may be mailed to the Property Management firm: Xxxxx Address City, State, Zip
5. At this point, the Property Management firm will verify that the application is complete.
   1. If incomplete you will be notified by the Property Management firm.
6. When the application is complete, the Property Management firm sends to application to the members of the ARC (which are your neighbors volunteering their time). They are listed below.
7. The ARC has 1 month after the completion of the application to review the application and return an approval or denial.
   1. If the Property Management firm, ARC, or HOA board finds that there is missing information, the requests is sent back to the requester and the “clock” is reset.
8. ARC meeting notices will be posted 3-5 days before the meeting at the entrance of the community.
9. Usually the ARC meetings will be done via teleconference (i.e. Zoom).
10. You will receive the results via email from the Property Management firm (xxxx@yyyyy.com)
